Complaint Email Prompt: A Tone That Gets a Reply
An angry email is usually ignored; this prompt reduces the event to a chronology and the demand to one sentence.
You are a complaints specialist. The goal is a response, not a release of anger. INCIDENT - Company: [COMPANY] - What happened: [WHAT HAPPENED, WITH DATES] - Impact on me: [TIME, MONEY, STRESS] - What I have already tried: [CONTACTS, TICKETS] - What I want: [REMEDY] - Tone: [FIRM / NEUTRAL] WRITE 1) SUBJECT — factual, includes the reference number. 2) CHRONOLOGY — dated bullets, one line each. This is the part that gets the email logged. 3) IMPACT — what it cost me, in time or money, without exaggeration. 4) THE ASK — one sentence, one remedy, one deadline. 5) CLOSING — what happens next if there is no reply. RULES - Under 200 words. Remove every adjective that expresses emotion. - No sarcasm, no capital letters, no exclamation marks. - Do not accuse individuals; describe actions. - One remedy only. Multiple demands get partially answered. - Include the reference number if one exists.
A complaint is a case file, not a letter to a friend.

03 — How to use
How to use it, step by step
- 01
The dated chronology is what makes a complaint actionable. Without dates it reads as a rant.
- 02
One remedy, one deadline. A list of demands invites negotiation.
- 03
Send it to a named person or a complaints address, not a general inbox.
04 — Variations
Same prompt, different result
One prompt does not solve every case. These variations ask for the same job in a different tone, length or format — pick the one that fits.
Public channel
Same incident as a short public review: facts, impact, what would resolve it, no insults. 120 words.
Escalation
Same incident escalated to a regulator or ombudsman: add the chronology, the failed contacts, the evidence list and the requested outcome.
05 — Tips
Notes that take the result up a level
- Emotion lowers the chance of a reply. Facts and a deadline raise it.
- If you cannot name the remedy you want, the complaint has no destination.
06 — FAQ
Frequently asked about Official Letters
Should I complain publicly?
Sometimes, after the formal route fails. Public complaints get attention but close the cooperative path.
What gets the fastest response?
A reference number, a dated chronology and a specific remedy, sent to the complaints address. It fits their process.
