Prompt for Official Paperwork

The hard part of official correspondence is picking the right channel, not writing the prose. This prompt decides whether it is an online form, a written petition or an in-person filing, then drafts the letter.

Prompt 1346 characters · 4 variables
I need to file a request with a government office but I do not know which office, or what form. Show me the route first, then draft the letter.

SUBJECT: [SUBJECT]
MY SITUATION: [SITUATION]
DOCUMENTS I HAVE: [DOCUMENTS]
WHAT I WANT: [REQUEST]

STEP 1 — ROUTE
Which office has authority here? Is there an online portal or does it require a written petition? If you are not certain, write "needs verification" — do not guess. If there are three possible routes, list them in order: fastest, safest, last resort.

STEP 2 — THE LETTER
Follow formal correspondence structure:
1. Top right: date
2. Addressee: full and correct office name
3. Subject line: one line, states what is requested
4. Salutation: the formal form used by that office
5. Facts: 2-3 sentences, facts and dates only. No emotion.
6. Request: numbered, one item each, unambiguous
7. Enclosures list
8. Full name, identity number place, signature, address, phone

LANGUAGE RULES
- Formal register. Short sentences. No ornament.
- No invented legal citations.

STEP 3 — DOCUMENT CHECK
Does what I have cover what I am asking for? If not, tell me which document to obtain and where.

STEP 4 — RISK
What is most likely to get this rejected? One line.

Rule: do not invent statute numbers, article numbers or regulation references. If you do not know it, write "the relevant regulation".

Official letters fail on the wrong addressee far more often than on the wrong wording.

02 — Variables

Fill in the brackets

The highlighted fields are the places where your own details go. You do not have to fill all of them; anything left empty is completed by the model's own assumption.

03 — How to use

How to use it, step by step

  1. 01

Fill identity and address fields yourself before submitting. The model leaves them as placeholders and people sometimes submit them unfilled.

  2. 02

Check the salutation and closing form — models frequently use a closing that is too familiar for the office, which reads as disrespectful.

  3. 03

Write the office name in full, including the district where applicable. Models abbreviate.

  4. 04

After submitting, note the reference number. The model does not remind you and you will need it to follow up.

04 — Variations

Same prompt, different result

One prompt does not solve every case. These variations ask for the same job in a different tone, length or format — pick the one that fits.

Appeal letter

Same structure, but add: the decision reference and date, the ground of appeal in one sentence, the specific outcome requested (cancel, recalculate, reconsider), and the deadline for the authority to respond.

Challenging a decision or a fine.

Route map only

Skip the letter. Output: the responsible office, the channel, the documents required, the statutory or usual processing time, the escalation path if no response, and the three most common reasons applications fail at this office.

When you want the process, not the letter.

05 — Tips

Notes that take the result up a level

  • Most requests now have an online form; a written petition is only needed where no form exists. Step 1 exists to separate the two before you write anything.
  • Citing the date and reference of the document you are responding to ("decision dated 12 March, reference 4471") makes the filing get taken seriously. Models leave these blank — fill them in.
  • "Kindly take the necessary action" is never sufficient on its own. What you want must be numbered separately. Models tend to merge the two.

06 — FAQ

Frequently asked about Official Letters

Can I trust a statute citation the model gives me?

No. Legal references are among the most commonly hallucinated content. If a citation is mandatory, add it yourself from the official legal database and use the model only for structure and tone.

How is the petition submitted?

In most offices you either fill in an online form or upload a PDF; a few still require a signed paper copy. Step 1 tells you which route applies, but confirm on the office's own page before filing.

What happens if it is rejected?

The response states the reason and the appeal route, usually within a defined window. Step 4 shows that risk up front, so note the filing date immediately — missing the appeal window is the most common failure.
